Venue Policies
Venue Policies
Welcome to Above the Clouds Venue, LLC, a Christian-owned and operated wedding venue dedicated to creating memorable celebrations of love rooted in biblical principles. We are committed to providing a warm, inviting space for your special day while upholding our values and ensuring a smooth experience for all guests.
This Policies page outlines the terms and conditions for reserving and hosting events at our venue. By booking an event with us, you agree to comply with these policies. We encourage you to review them carefully and contact us with any questions. Our goal is to partner with you in making your wedding a joyful reflection of God’s design for marriage.
Reservation and Payment Terms
To secure your preferred date, we require the following initial payments:
- A non-refundable deposit of $500 applied toward your selected package. This holds your date and is non-transferable except as outlined in our rescheduling policy.
- A separate $500 refundable security deposit to cover potential damages or excessive cleanup.
This structure aligns with industry standards, where non-refundable deposits help venues manage bookings and cover administrative costs associated with reserving dates. The remaining balance for your event is due in full no later than 30 days prior to your scheduled date. We accept payments via cash, check, Venmo, Cash Ap. While we also accept credit cards, there is a 3% fee. Late payments may result in rescheduling or cancellation fees.
All pricing is exclusive of applicable taxes and any additional services. We offer flexible packages tailored to your needs, including ceremony and reception options. Detailed package information is available upon inquiry.
Security Deposit and Damage Policy
The $500 security deposit protects our venue from damage, excessive wear, or non-compliance with our guidelines. Upon completion of your event, our team will conduct a thorough walkthrough inspection within 24 hours. If no issues are identified, the full deposit will be refunded via your original payment method within seven (7) business days.
Should any damages occur—such as stains, breakage, or unauthorized alterations—you will be notified in writing with documentation (e.g., photos and repair estimates). Deductions will be limited to actual costs, and any excess will be returned promptly. Clients are responsible for the conduct of guests and vendors, including ensuring all items are removed post-event. This policy is standard in the wedding industry to maintain the venue’s condition for future couples.
We recommend obtaining event liability insurance (minimum $1 million coverage) to safeguard against unforeseen incidents, such as guest injuries or property damage. Proof of insurance naming our venue as an additional insured is required at booking. This is a common requirement among wedding venues to protect all parties. (Usually running $100)
Cancellation and Rescheduling Policy
We understand that life can bring unexpected changes, and we strive to accommodate our clients with grace. Our policy is designed to balance fairness for all parties while allowing flexibility for genuine hardships.
- Cancellation by Client: The $500 non-refundable deposit is forfeited upon cancellation. For cancellations more than 90 days prior to the event date, no further penalties apply. Cancellations within 90 days may incur additional fees up to 50% of the total package cost, reflecting lost booking opportunities. Full payment is due for cancellations within 30 days.
- Rescheduling: We offer one complimentary reschedule for illness, bereavement, or other uncontrollable circumstances (e.g., natural disasters), subject to availability. The original deposit transfers to the new date, and rescheduling must occur within 6 months. Additional changes may incur a $250 fee.
- Force Majeure: In the event of acts of God (e.g., pandemics, severe weather, or government mandates), we will work collaboratively to postpone your event without penalty. Refunds or credits will be issued proportionally if rescheduling is not feasible.
All cancellation or rescheduling requests must be submitted in writing. We recommend wedding cancellation insurance to cover non-recoverable costs in unforeseen scenarios, a prudent step endorsed by many planners. If we must cancel due to venue unavailability, you will receive a full refund or transfer to an alternative date at no cost.
Vendor and Setup Guidelines
To ensure a seamless event, all vendors (e.g., caterers, photographers, florists) must be pre-approved and adhere to our guidelines. We provide a preferred vendor list for your convenience, but external vendors are welcome with proper insurance and compliance. Setup and breakdown are included in your rental timeframe—typically 10 a.m. to 10 p.m.—and must include all vendor activities.
Permitted decorations include fresh flowers, candles (battery or enclosed flames only), and biodegradable confetti outdoors. Prohibited items: rice, glitter, open flames, pyrotechnics, and tape on walls. Pets are allowed only in outdoor areas with prior approval, leashed and supervised. Alcohol service requires a licensed bartender and liability policy. All waste must be removed by your team to avoid deposit deductions. Rehearsals are available and included in some of our packages or can be added for an additional fee and must be scheduled in advance.
Health, Safety, and Liability
Your health and safety are our top priorities. We maintain rigorous cleaning protocols between events, but as with any gathering, there is an inherent risk of exposure to illnesses, including viruses like COVID-19. By attending, you acknowledge this risk and agree to monitor symptoms. If you or any guest are unwell, please stay home and notify us immediately—we will assist with rescheduling as needed.
We hold no liability for illnesses contracted at our venue. Guests assume all risks associated with attendance. In case of injury or damage not caused by our negligence, our venue is held harmless. This disclaimer is consistent with standard event liability practices. Emergency procedures and accessible facilities are available upon request.
Our Statement of Faith on Marriage
As a Christian venue, we celebrate marriage as a sacred covenant ordained by God, designed exclusively as the lifelong union between one man and one woman (Genesis 2:24; Matthew 19:4-6). This reflects our deeply held biblical convictions and commitment to honoring Scripture in all we do. We joyfully host ceremonies that align with this belief, fostering an environment of worship and testimony. Premarital counseling with a Christian officiant is encouraged to strengthen your foundation.
We respectfully decline to host events that do not align with this definition, including same-sex unions, to maintain consistency with our faith-based mission. Our prayer is that every wedding here glorifies Christ and builds enduring, God-centered relationships.
